We are seeking a highly organized, dependable, and proactive Operations & Administrative Assistant to support daily administrative, operational, and financial functions within our growing company.

This role is ideal for someone who enjoys creating structure, staying organized, helping teams stay aligned, and keeping day-to-day operations running smoothly. The Operations & Administrative Assistant will serve as both the front office coordinator and a key support partner to leadership, helping bridge communication between office, finance, operations, and warehouse teams.

The right candidate is detail-oriented, welcoming, adaptable, and comfortable balancing administrative responsibilities with operational support in a fast-paced entrepreneurial environment.

 


 

What You’ll Do

Administrative & Office Management

  • Serve as the primary front office point of contact by greeting guests, vendors, and visitors

  • Answer phones, manage incoming mail, and support general office communication

  • Maintain office organization and ensure common spaces remain professional and organized

  • Order and maintain office, kitchen, and operational supplies

  • Coordinate meeting logistics including scheduling, room setup, agendas, and note-taking

  • Prepare and distribute meeting minutes and follow-up action items

  • Assist with company event coordination and team lunches as needed

Financial & CFO Support

  • Support the CFO with day-to-day administrative and financial tasks

  • Assist with invoicing, data entry, expense tracking, and basic reconciliations

  • Maintain organized digital and physical financial records

  • Assist with document collection and organization for accounting, payroll, and reporting needs

  • Support vendor communication and administrative follow-up

Operations Support

  • Help coordinate communication between office and warehouse teams

  • Assist with operational problem-solving and administrative follow-up

Culture & Team Support

  • Help maintain a welcoming and professional office environment

  • Support internal communication and team coordination

  • Assist leadership with administrative organization and follow-through

  • Contribute to a positive and organized company culture during periods of growth

 


 

What We’re Looking For

  • 2+ years of experience in administrative, office management, bookkeeping, or operations support roles

  • Strong organizational and time management skills

  • Excellent written and verbal communication abilities

  • High attention to detail and ability to manage multiple priorities

  • Comfortable working independently and taking initiative

  • Professional and welcoming demeanor

  • Proficiency in Microsoft Office and Google Workspace

  • Experience with bookkeeping or accounting software require

  • Comfortable working in a warehouse or operations-focused environment

Compensation

  • $50,000 – $60,000 annually, depending on experience
